1. Who We Are

Nexii Tech Solutions Inc. ("we," "us," or "our") is a business automation, website development, and custom systems studio based in Imus, Cavite, Philippines, serving clients across Metro Manila, Parañaque, and the Philippines. This Privacy Policy explains how we handle personal data collected through our website at nexiitechsolutions.com, our Facebook Page, and in the course of providing our services. It applies to visitors, prospective clients, and clients, and is written to comply with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations.

2. Information We Collect

We collect information directly from you when you interact with our website or contact us:

• Inquiry and workflow audit forms: name, email address, phone number, company/business type, the type of project or service you're asking about, and any project details you write in the message field.
• Direct contact: any information you send us by email, Facebook Messenger, WhatsApp, or phone when you reach out about a project.
• Staff accounts: if you are a Nexii Tech Solutions employee with access to our internal admin dashboard, we store your name, email, and a securely hashed password to manage login access. This does not apply to website visitors or leads.

The only cookies set by our site by default are strictly functional: a session cookie and a CSRF security token used to protect our forms and staff login from abuse, and (for logged-in staff only) an authentication cookie. Our site also loads fonts from Google Fonts, which may receive your device's IP address as a normal part of delivering that font file.

Our website is built to optionally support privacy-conscious analytics tools (such as Google Analytics, Google Tag Manager, Meta Pixel, or Microsoft Clarity) to help us understand which pages and campaigns bring visitors to our site. As of the date above, none of these tools are active on our site. If we turn one on in the future, we will update this policy first to disclose what it collects, and analytics/advertising cookies will only be set at that point.

3. How We Use Your Information

We use the information you submit through our forms to:

• Respond to your inquiry and discuss your project;
• Prepare quotes, proposals, and project timelines;
• Keep a record of leads and client communication for our own follow-up; and
• Improve our services and understand which pages or campaigns bring us inquiries (via the "lead source" and UTM fields, which record the page or link you came from).

We do not sell, rent, or trade your personal data to third parties for their own marketing purposes.

4. Where Your Information Is Stored

Form submissions are stored in our secured project database and are also forwarded by email to our internal team inbox so we can respond promptly. Access to this data is limited to Nexii Tech Solutions staff who need it to follow up on your inquiry or deliver a project.

5. Facebook Page and Meta Platform Data

Nexii Tech Solutions maintains a Facebook Page and uses an internal automation tool connected to Meta's Graph API to publish our own scheduled marketing posts (text and images) to that Page. This integration is used solely to publish content that we create — it does not collect, access, or process personal data belonging to Facebook users, our Page's followers, or people who comment on or message our Page. If you message us on Facebook or WhatsApp, that conversation is subject to Meta's own Privacy Policy in addition to this one, and we will only use what you tell us to respond to your inquiry.

6. Data Sharing

We only share personal data with service providers who help us run our business — for example, our hosting provider and email delivery service — and only to the extent needed to operate our website and respond to inquiries. These providers are not permitted to use your data for their own purposes. We may also disclose information if required to do so by Philippine law or a valid legal request.

7. Data Retention

We keep inquiry and lead records for as long as reasonably necessary to respond to you, maintain our business relationship, and meet our legal and accounting obligations, after which the data is deleted or anonymized.

8. Security

We apply reasonable organizational and technical safeguards to protect your data, including encrypted connections (HTTPS), hashed passwords for staff accounts, rate limiting on our forms, and restricted internal access. No method of transmission or storage is 100% secure, but we work to protect your information against unauthorized access, alteration, or disclosure.

9. Your Rights Under the Data Privacy Act of 2012

As a data subject under Philippine law, you have the right to:

• Be informed that your personal data will be, is being, or has been processed;
• Reasonable access to your personal data we hold;
• Request correction of inaccurate or outdated data;
• Object to processing, and withdraw consent where processing is based on consent;
• Request erasure or blocking of your data where appropriate;
• Be indemnified for damages from inaccurate, unlawfully obtained, or unauthorized use of your data; and
• Data portability, where technically feasible.

10. Children's Privacy

Our website and services are directed at businesses and are not intended for individuals under 18 years of age. We do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The "Last updated" date at the top of this page will always reflect the most recent revision. Continued use of our website after changes take effect constitutes acceptance of the updated policy.
